Senior New Business Administrator

JOB SUMMARY

We are seeking a motivated and proactive candidate to join our fast-growing organisation. The successful candidate will be responsible for ensuring that new entity setups and transfer ins are handled efficiently and in a timely manner along with related ancillary duties. Communication skills and professionalism are key in this position.

KEY RESPONSIBILITES

New Entity Set Up and Transfer in

  • Establishing initial client contact for new set up and collection of all due diligence documents and onboarding document.
  • Assisting with the transfer in of any entities from other corporate service providers both locally and outside Mauritius including file reviews.
  • Assist with the transfer in process for all work coming to LCA from other fiduciaries in and outside Mauritius, including conducting file reviews.
  • Assist with the onboarding process for any new business including assistance with completion of relevant application forms as required.
  • Requesting and monitoring the collation of all documentation and information relating to work in progress (“WIP”).
  • Filing of required documents with the authorities in Mauritius for new set ups and responding to any queries.
  • Liaising with registered agent in overseas jurisdiction for setting up of International Business Companies.
  • Arranging tax and/or legal advice where required.
  • Regular communication with all WIPs/new clients to keep them informed on the progress of the new entity set up/transfer in.
  • Preparation of meeting packs and attendance at client meetings/board meeting as required.
  • Creation new entity files – physical and electronic (viewpoint and sharepoint).
  • Arranging for the setup of existing and new client files including all related parties on viewpoint.
  • Review of CDD documents and screening report to ensure it satisfies the CDD requirements of LCA.
  • Collect CDD documentation and set up CDD folders for individuals and entities.
  • Ensuring that all CDD documents are marked as accepted or declined once received and relevant comments are added as required.
  • Maintaining records of the source of wealth and source of funds as per LCA’s Compliance Manual.
  • Reporting of any non-compliant WIPs and existing entities to the Compliance Team and obtaining necessary approvals for on boarding the client and maintaining the client relationship.
  • Collating of CDD on client files as required and report any non-compliance issues as necessary.

Regulatory and Risk

  • Perform screening using LCA Screening Application.
  • Prepare Client Risk Assessment for all new client entities which also includes but is not limited to:
    · Drafting of structure chart
    · Drafting of Country Identification Summary
    · Beneficial owner/settlor summary of wealth
  • Assessing assets to be transferred/settled to the clients’ entities and ensuring that LCA has full accounting records where necessary.
  • Drafting of letters of wishes, trust deeds and constitutional documents for client entities as applicable.

Banking

  • Opening initial bank account(s) and changing signatories on existing bank accounts for transferred in entities (as appropriate).
  • Opening of any new bank accounts as required for existing entities
  • Opening of investment brokerage/custody accounts as required.
  • Processing of payments for client entities and handling call backs on payments with both the client and the bank.

Occupation Permits

  • Assist with obtaining occupation permit for WIPs/clients of LCA, which including relevant application to be made with EDB and attending interviews at the OP unit, following up on issues on the application and providing regular feedback to client.

Overall responsibilities

  • To maintain the highest standards of confidentiality as detailed in the employment agreement.
  • Working in line with LCA’s policies and procedures and ensuring consistency in service and standards.
  • Maintain an awareness of jurisdictional statutory changes that could affect your client portfolio.
  • To assist with any ad hoc assignments as required.
  • To abide with LCA’s employee handbook detailing professional conduct.
  • Compliance with LCA’s internal policies and procedures as may be amended from time to time.
  • Maintain an awareness of changes to the relevant financial, legal and regulatory framework within which the company operates.
  • Completing any other duties as may be required from time to time in accordance with the requirements of the role, team and evolving nature of the function.
  • In all aspects of your role, display and adhere to LCA’s vision and values.

KEY COMPETENCIES & SKILLS

  • Experience in the financial services industry with a minimum of 3 years in the global business sector (ideally with a management company) will be a definite plus.
  • Undergraduate degree in law, business, accounting, finance or professional qualifications.
  • Ability to work independently under pressure and meet tight deadlines
  • Acute attention to detail
  • Excellent team player and willing to go the extra mile with strong communication skills.
  • Ability to deal with complex issues in a timely and proactive manner
